Please, read carefully the Reservation and Cancellation Policies, before starting the booking procedure.

A large number of hotels varying both in category and in location has been reserved on the occasion of the EASD 44th Annual Meeting.
The availability of rooms will be always updated.

Please take into consideration that, due to the ever-increasing number of participants at the Annual Meetings and the importance of the city of Rome as centre of national and international political life and as one of the most important tourist destinations of the world, the rooms in different price categories have been blocked at preferential rates for the 44th EASD Annual Meeting.
It is strongly advisable to book your room(s) at the earliest possible opportunity.
Telephone reservations will not be accepted.

All hotels can only be sold from 7th to 11th Sept (minimum stay 4 nights), if not differently agreed.
Extra nights are allowed.

Hotel rooms are booked on a 'bed and breakfast' basis, including all local taxes.

The hotel rooms have been placed in different categories, based on price range and standard. Each category has a minimum and a maximum rate based on single/double occupancy. All hotels offer, as a minimum, bath/shower/WC, telephone, TV and breakfast facilities.

After 31st May 2008,  DGMP cannot guarantee a hotel room nor the preferential rate, although DGMP will make every effort to meet participants' requirements.

Individual Reservations (up to 9 rooms)

Individual reservation policy

• As a service for individual participants, DGMP will arrange your hotel accommodation at the same price as a group reservation;
  
• All prices are in Euro;
  
• Participants will receive a voucher for their hotel reservation;
  
• The prices quoted cover taxes, bed and breakfast, services and taxes: possible extras are not included and must be settled at the checking out;
  
• All rooms have a private bathroom;
  
• 15 Euro per room will be charged as booking fee;
  
• Please note that the hotels require full pre-payment no later than 31st May 2008: you will receive an e-mail reminder not to forget the deadline. If the full payment is not settled by 31st May, your reservation will be lost and no deposit will be refunded;
  
• Participants will receive a first confirmation after receiving the deposit. A voucher, to be shown on arrival at the reception desk of the hotel, will be sent only after the full payment.

Individual reservation cancellation policy

Total cancellation is permissible free of charge if made by writing to DGMP no later than 31st May 2008.
Paid deposit will be refunded less a handling fee of 30,00€ per each cancelled room.

Between 31st May 2008 and 1st August 2008, cancellation is permissible and paid deposit will be refunded less the first night and the reservation fee of 30,00€ per cancelled room.

After 1st August 2008 cancelletions or no-shows will be charged for the entire booked period.

The deadline for any arrival or departure changes is 1st August. After this date the change is not guaranteed.
Any request of change will be charged with a handling fee of 30,00€.
The deadline for any name change is 1st September. After this date a handling fee of 30,00€ will be charged for each name.

All individual cancellations and changes are only valid when made in writing and confirmed by DGMP.

All refunds will be processed after the Annual Meeting.

Group reservations (as from 10 rooms)

Group reservation policy

• The rooms are not to be intended confirmed before DGMP receives the payment of the deposit.
  
• Booking deposit info and deadline will be specified in the agreement form.
  
• The room rates include taxes and breakfast: possible extras are not included and must be settled at check out, unless differently agreed upon.

Group reservation cancellation policy

Total cancellations are permissible free of charge only if made in writing to DGMP Viaggi no later than the 30th May 2008. Paid deposits will be refunded less a handling fee of €30,00 per each cancelled room.

For cancellations made later than the 30th May 2008, the following rules apply:

• Between 31st May and 30th June 2008, a maximum of 30% of the originally booked rooms can be cancelled (handling fee applies as above).
• Between 30th June and 1st August 2008, up to 10% of last given number of rooms can be cancelled (handling fee applies as above).
• After the 1st August 2008, cancellations or no-shows will be charged in full.

The deadline for name changes is 1st September 2008. After this date a fee of 30,00€ will be charged for each name change.

Reductions/cancellations are only valid when in writing and signed by both parties.

For cancellations exceeding the aforementioned percentages the full amount for the booked period will be charged.
However, DGMP Viaggi shall do their best to resell such rooms.
All no-shows will be charged in full.

All refunds will be processed after the Annual Meeting.
